Accountant Vacancy-Payroll Officer
Job Description
Our client, a leading company in Tanzania’s mining and transport sectors, is seeking a Payroll Officer to manage accurate and timely payroll processing. This role is critical in ensuring compliance with Tanzanian labor laws, tax regulations, and company policies.
Working closely with HR and Finance teams, the Payroll Officer will handle payroll inputs, statutory deductions, reconciliations, and employee queries, while maintaining confidentiality and audit readiness. The ideal candidate has 3–5 years of payroll experience, strong knowledge of Tanzanian payroll regulations, and proficiency in payroll systems and Excel. Integrity, attention to detail, and the ability to meet tight deadlines are key to success in this role.
Responsibilities
- Receive payroll inputs from the head of Human Resources and check that authorized personnel approve all inputs as per the company payroll policy. Verify working hours, allowances, deductions and overtime in accordance with company policies.
- Prepare and process monthly payroll for all employees, ensuring accuracy and timeliness.
- Maintain payroll records, ensuring confidentiality and compliance with data protection regulations.
- Ensure payroll calculations are accurate, reflecting any changes in salary, benefits, and deductions.
- Ensure payroll complies with Tanzanian labor laws, tax regulations and statutory deductions (e.g., PAYE, NSSF, and NHIF).
- Prepare and submit payroll reports to the Chief Financial Officer (CFO) and Head of HR for verification and approval.
- Generate monthly payroll reconciliation reports and ensure alignment with financial records.
- Generate payroll journals for the finance team to post in the system.
- Generate payroll summaries and net salaries payment list, which includes the bank account, details so salaries can be paid to staff.
- Ensure all statutory payments and filings are completed accurately and on time.
- Maintain and update the payroll system with employee data and relevant salary details.
- Identify and resolve any payroll discrepancies in collaboration with the HR and Finance teams.
- Recommend system improvements and automation to enhance efficiency and accuracy.
- Respond to employee inquiries regarding salaries, deductions, tax matters and benefits in a timely manner.
- Ensure employees receive their pay slips on time and address any discrepancies efficiently.
- Assist HR and Finance in handling payroll-related grievances or disputes.
- Work with auditors during payroll audits by providing necessary documentation and reports.
- Implement internal payroll controls to prevent errors, fraud or mismanagement.
- Ensure that payroll approvals are obtained from both the Head of HR and the Head of Finance before processing payments.
- Assist in the preparation of year-end processes.
Requirements
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
- Minimum of 3-5 years of experience in payroll processing, preferably in the mining and transport sectors.
- Strong knowledge of Tanzanian labor laws, tax regulations, and statutory deductions.
- Proficiency in payroll software and Microsoft Excel.
- Excellent analytical skills, attention to detail, and numerical accuracy.
- High level of integrity, confidentiality, and professionalism.
- Strong communication and problem-solving skills.
